Procedure

The following procedures outline how to leave or remove copies of email messages on the messaging server when using an email client.

For Microsoft® Windows® users

Microsoft Windows Mail (Windows Vista™)
  1. Click Tools.
  2. Click Accounts.
  3. In the Email subsection, select the email account.
  4. Click Properties.
  5. Click the Advanced tab.
  6. Click the Leave a copy of the message on the server check box.
Microsoft Outlook® XP, 2002, 2003, and 2007
  1. Click Tools.
  2. Click Email Accounts.
  3. Click View or change an existing email address or select the Email tab.
  4. Select the email account.
  5. Click Change.
  6. Click More Settings.
  7. Click the Advanced tab.
  8. Click the Leave a copy of the message on the server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
Microsoft Outlook Express and Microsoft Outlook 2000
  1. Click Tools.
  2. Click Accounts.
  3. Click the Mail tab.
  4. Select the email account.
  5. Click Properties.
  6. Click the Advanced tab.
  7. Click the Leave a copy of the message on the server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
Eudora® 7.0 or later
  1. Click Tools.
  2. Click Personalities.
  3. Right-click the email account name, and then click Properties.
  4. Click the Incoming Mail tab.
  5. Click the Leave mail on Server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
Mozilla® Thunderbird® 1
  1. Click Tools.
  2. Click Account Settings.
  3. Select Server Settings under the account name.
  4. Click the Leave messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
IncrediMail®
  1. Click Tools.
  2. Click Accounts.
  3. Select the email account and click Properties.
  4. Click the Advanced tab.
  5. Click the Leave a copy of messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
EarthLink® Mailbox
  1. Click Tools.
  2. Click Settings.
  3. Click the Accounts tab.
  4. Select the email account and click Edit.
  5. Click the Leave messages on the server after downloading check box.

    Note: Since EarthLink Mailbox does not provide an option to automatically remove email messages after a certain number of days, the messaging server will begin to fill up after enabling this option. To remove unnecessary email messages, click Tools > Settings. Click the Receive tab, and then click the Remove message from server when deleted from trash check box.
Netscape® 4.5 to 4.7
  1. Click Edit.
  2. Click Preferences.
  3. Under Categories, open the Mail & Newsgroups menu by clicking the plus (+) sign to expand the options.
  4. Click Mail Servers.
  5. In the Incoming Mail Servers section, click Edit.
  6. In the Mail Server Properties section, click the POP tab.
  7. Clear the Leave messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  8. Click OK.
  9. Click OK.
Netscape 6
  1. Click Tasks.
  2. Click Mail.
  3. Click Edit.
  4. Click Mail/News Account Settings.
  5. Click Server in the window on the left.
  6. Clear the Leave messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  7. Click OK.
Internet mail
  1. Click Mail.
  2. Click Options.
  3. Click the Server tab.
  4. Click Advanced Settings.
  5. Clear the Leave a copy of messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  6. Click OK.
For Apple® Macintosh® users



Outlook Express 4 and 4.5 Macintosh Edition
  1. Click File.
  2. Click Preferences.
  3. Click the arrow beside Accounts, and then select E-mail.
  4. Click Advanced.
  5. Clear the Leave a copy of messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  6. Click OK.
Outlook Express 5 Macintosh Edition
  1. Click Tools.
  2. Click Accounts.
  3. Click the Mail tab.
  4. Select the email account and click Edit.
  5. Click the Options tab.
  6. Clear the Leave a copy of messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  7. Click OK.
Microsoft Entourage® X
  1. Click Tools.
  2. Click Accounts.
  3. Ensure that the correct account is highlighted and click Edit.
  4. On the Edit Account screen, click the Options tab.
  5. Click the Leave a copy of each message on the server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
Eudora 5 for Macintosh
  1. Click Special.
  2. Click Settings.
  3. Click Checking Mail in the left pane.
  4. Clear the Leave on server for 'X' days check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  5. Click OK.
Netscape 3 for Macintosh
  1. Click Options.
  2. Click Mail and News Preferences.
  3. Click the Servers tab.
  4. Click the Removed from the server radio button.
  5. Click OK.
Netscape 4.05 for Macintosh
  1. Click Edit.
  2. Click Preferences.
  3. In Categories, expand the Mail & Groups menu by clicking the arrow.
  4. Click Mail Server.
  5. Clear the Leave messages on server after retrieval check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  6. Click OK.
Netscape 4.5 - 4.7 for Macintosh
  1. Click Edit.
  2. Click Preferences.
  3. Under Categories, expand the Mail & Newsgroups menu by clicking the arrow.
  4. Click Mail Server.
  5. In the Incoming Mail Servers section, click Edit.
  6. Click the POP tab in the Mail Server Properties section.
  7. Clear the Leave messages on server check box.

    Note: Clearing this check box will result in deleted email messages being permanently removed from the messaging server.
  8. Click OK.
  9. Click OK.
For MacMail® / Apple Macintosh OS 10.1
  1. Click Mail.
  2. Click Preferences.
  3. Ensure that the correct address is highlighted and click Edit.
  4. Click the Account Options tab.
  5. Ensure that Delete messages from server after downloading is not checked. MacMail does not have a Remove from server after X number of days option.
